Thank you for choosing Pinecrest View Photography. We value your business and strive to provide exceptional photography services. This Refund Policy outlines our procedures and guidelines regarding refunds for our various services and products.
Please read this policy carefully before making a purchase. By booking our services or purchasing our products, you agree to be bound by this Refund Policy.
Note: Different refund terms apply to different types of services and products. Please refer to the specific section applicable to your purchase.
1. Photography Session Bookings
1.1 Booking Deposits
To secure your photography session date, we require a non-refundable booking deposit (typically 25% of the total session fee). This deposit is used to reserve your date in our calendar and covers administrative costs and preparation for your session.
- Booking deposits are non-refundable under any circumstances.
- Deposits may be transferable to a new date, subject to our availability and the rescheduling terms below.
1.2 Cancellations by Client
If you need to cancel a booked photography session, the following terms apply:
- Cancellations more than 30 days before the session: Deposit is forfeited, but no additional payment is required.
- Cancellations 14-30 days before the session: Deposit is forfeited, and 25% of the remaining balance is due.
- Cancellations 7-14 days before the session: Deposit is forfeited, and 50% of the remaining balance is due.
- Cancellations less than 7 days before the session: Full payment is due with no refund available.
1.3 Rescheduling by Client
We understand that circumstances may require you to reschedule your session. Our rescheduling policy is as follows:
- Rescheduling more than 14 days before the session: No additional fee; your deposit will be applied to the new date.
- Rescheduling 7-14 days before the session: A £25 rescheduling fee applies; your deposit will be applied to the new date.
- Rescheduling less than 7 days before the session: A £50 rescheduling fee applies; your deposit will be applied to the new date.
All rescheduling is subject to our availability. If we cannot accommodate your requested new date, standard cancellation terms will apply.
1.4 Cancellations or Rescheduling by Pinecrest View Photography
In rare circumstances, we may need to cancel or reschedule your session due to illness, emergency, or extreme weather conditions. In such cases:
- We will make every effort to notify you as soon as possible.
- You will have the option to reschedule to another available date at no additional cost.
- If rescheduling is not possible or desired, we will provide a full refund of any payments made, including the deposit.
2. Wedding Photography
2.1 Booking and Payment
Wedding photography bookings require:
- A non-refundable deposit of 30% of the total package price to secure your date.
- A second payment of 35% due three months before the wedding date.
- The final balance of 35% due two weeks before the wedding date.
2.2 Cancellations by Client
Wedding photography cancellations are subject to the following terms:
- Cancellations more than 9 months before the wedding: Initial deposit is forfeited, but no additional payment is required.
- Cancellations 6-9 months before the wedding: Initial deposit is forfeited, plus 25% of the remaining balance is due.
- Cancellations 3-6 months before the wedding: Initial deposit and second payment are forfeited.
- Cancellations less than 3 months before the wedding: Full payment is due with no refund available.
2.3 Date Changes
If you need to change your wedding date:
- We will accommodate date changes if we have availability on your new date.
- Your deposit will be transferred to the new date.
- If we are unavailable on your new date, this will be treated as a cancellation by the client, and the above cancellation terms will apply.
2.4 Cancellations by Pinecrest View Photography
In the highly unlikely event that we must cancel our services for your wedding:
- We will make every effort to find a replacement photographer of similar style and experience.
- If no suitable replacement can be found, we will provide a full refund of all payments made.
- Any additional liability is limited to the total amount paid to Pinecrest View Photography.
3. Photography Workshops and Courses
3.1 Workshop Registrations
Registration for a workshop or course is confirmed upon full payment. Our refund policy for workshops is as follows:
- Cancellations more than 21 days before the workshop: 80% refund of the workshop fee.
- Cancellations 14-21 days before the workshop: 50% refund of the workshop fee.
- Cancellations 7-14 days before the workshop: 25% refund of the workshop fee.
- Cancellations less than 7 days before the workshop: No refund available.
3.2 Workshop Transfers
If you cannot attend a workshop you've registered for:
- You may transfer your registration to another person at no additional cost by notifying us at least 48 hours before the workshop.
- You may transfer your registration to another workshop date, subject to availability, for a £25 transfer fee if requested more than 14 days before the original workshop date.
3.3 Workshop Cancellations by Pinecrest View Photography
If we need to cancel a workshop:
- We will provide a full refund of the workshop fee.
- Alternatively, you may choose to transfer your registration to another workshop date at no additional cost.
- We are not responsible for any travel, accommodation, or other expenses you may have incurred.
4. Digital Products and Downloads
4.1 Digital Downloads
For digital products such as presets, templates, or educational materials:
- Due to the nature of digital products, all sales are final and non-refundable once the download link has been provided.
- If you have not downloaded the product and request a refund within 24 hours of purchase, we may consider a refund at our discretion.
- If you experience technical issues with your download, please contact us for assistance before requesting a refund.
4.2 Subscription Services
For any subscription-based services we offer:
- You may cancel your subscription at any time through your account settings or by contacting us.
- No refunds are provided for partial subscription periods.
- After cancellation, you will continue to have access to the service until the end of your current billing period.
5. Physical Products
5.1 Prints and Albums
For physical products such as prints, canvases, albums, and other photo products:
- Custom-made products (including albums and wall art with your images) are non-refundable once production has begun.
- If you receive a damaged product, please notify us within 7 days of receipt with photographs of the damage. We will replace the item at no additional cost.
- If you are not satisfied with the quality of a product for reasons other than damage, please contact us within 7 days of receipt to discuss potential solutions.
5.2 Pre-made Products
For non-customized physical products:
- Returns are accepted within 14 days of receipt if the item is unused and in its original packaging.
- Return shipping costs are the responsibility of the customer.
- Refunds will be processed within 14 days of receiving the returned item.
6. Force Majeure
Pinecrest View Photography will not be liable for any failure or delay in performing our obligations where such failure or delay results from any cause beyond our reasonable control. Such causes include, but are not limited to: power failure, internet service provider failure, natural disasters, pandemic, government restrictions, acts of war or terrorism, or any other force majeure event.
In cases of force majeure affecting a booked service:
- We will make reasonable efforts to reschedule the service.
- If rescheduling is not possible, our standard cancellation policies will apply.
7. Processing of Refunds
When a refund is approved:
- Refunds will be issued using the same payment method used for the original purchase.
- Processing times for refunds depend on your payment method:
- Credit/debit card refunds typically take 5-10 business days to appear on your statement.
- Bank transfer refunds typically take 3-5 business days.
- PayPal refunds typically take 1-3 business days.
8. Exceptions and Special Circumstances
We understand that special circumstances may arise. In cases of serious illness, bereavement, or other exceptional situations, we may consider exceptions to our standard refund policy on a case-by-case basis. Please contact us as soon as possible if such circumstances affect your booking.
Documentation may be requested to verify such circumstances.
9. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services following the posting of changes constitutes your acceptance of such changes.
